- Office Protocol - In order
to develop new systems that will support both our program and
individual needs, I have compiled the following protocols:
- Have a request for the office? Leave a note in the Request
Box in the Staff Room or send an email to: juanita_jimenez@pvusd.net.
Allow 24 hours for response.
- Conversations between staff should take place in the
staff room, not in the office.
- Phonecalls: Use the Staff Room phone or the phone
in your classroom. There will be a phone book and district directory.
- Long Distance Calls: The Staff Room Phone is not blocked
and can be used for Long Distance calls.
- Please do not sit at the desks in the office. Respect
the workspace of our Office staff.
- Detention does not happen in the office. Never send
students to the office for detention during recess nor lunch.
- Cums for students leaving the school should be turned
around in 3 days.
- The Office Door will be closed. Typically, the office
should not be used as a passageway. In times of high stress,
a "Do Not Disturb" sign will be posted asking people
to not enter unless there is an emergency.
- All Field Trip paperwork (including parent permission
and insurance forms) should be in the Office 2 weeks prior to
the event. We will have to cancel any fieldtrip whose paperwork
is not complete.
- Who is responsible for what?
- Juanita
- Money issues: Colecta or Budget or reimbursements
- Stores & Palace
- Bus reservations for field trips (NEVER contact PVUSD Transportation,
Discovery or any other transportation company yourself.)
- Susana
- Attendance and CUMS
- Lunch Forms
- Dorothy
- Field Trips
- Subs
- Per-12's Certificated Absences
- Fidel
- Keys, Weekend Keys
- Fixing what's broken. Fidel asks that you write your requests
and put them in his box. If you tell him in the hall, he may
forget.
- Intercom will only be used for emergencies or in those
situations where critical information needs to be distributed
quickly and walking to all the classrooms is not an option.
- Office Hours: If there is an issue that you have to
discuss with the Office Staff, the best time would be on your
break in the morning, between 9:00 and 12:00.
- The Office will get any materials that are to be sent home
in your boxes by 11:15. The teacher's job will be to check
their box and make sure the materials go home that day.
- Copier Broken: We will put a hanging sign that says
"Copier Broken" and hang it near copier. When it breaks
the teacher takes the sign and hangs it on the Office side of
the Office Door. Never attempt to fix a machine. That is Juanita's
responsibility.
- Status of Reimbursements, Field Trip forms, or other
forms should be placed in the Request Box in the Staff Room.
- Uniforms are now mandatory. Not wearing a uniform
results in a discipline consequence:
- First Time: A warning which will be a standard piece
of paper given to the student by the teacher with and explanation
of the policy that will require a parent's signature.
- Second Time: A student is put on notice, another paper
is sent home indicating a second warning.
- Third Time: If the parent does not sign the form the
teacher must make a phone contact to explain the policy and that
a 3rd time not wearing the uniform will mean the student will
be sent to the office until the parent either comes with a uniform
for the student to wear or signs the form saying they refuse
to comply with the policy.
